1. Personal data we process

The Hotel Nanny Service processes personal data of parents and guardians, children, applicants and business relations. This includes name and contact details, data you enter in our intake, enrolment, contact and application forms, and data about your child needed for responsible care, such as name, age and, only when you provide it yourself, allergies or medical details. We handle children's data with extra care: we process no more than is needed for your child's care, and only based on the information you provide yourself.

2. Why we need your data

We process your data to contact you by phone or email, to perform the service agreement (the right match between family and nanny), to handle your request and payment, to send our newsletter and to inform you about changes to our services. We also process data when we are legally obliged to do so.

Nannies need certain information to provide good care (such as name, phone number, address and specific details of your children). We only share phone number and email with explicit consent. THNS and the nannies keep each other informed via WhatsApp and email, solely to improve the care.

3. How long we keep your data

We do not keep your personal data longer than strictly necessary, up to seven years after the end of service. After that, the data is irreversibly anonymised within one year.

4. Sharing with others

We only share your data with third parties when necessary to perform the agreement or to comply with a legal obligation. Only designated staff have access. We use suppliers for our services, such as WhatsApp for contact and Bitcare for the parent portal; where the GDPR requires it, processing agreements are in place. For enrolment and parent communication of The Nanny Daycare we refer to the Bitcare parent portal; its use is governed by Bitcare's privacy policy. If you sign up for our newsletter, we use your email address for that purpose only and only with your consent.

5. Website visits & cookies

The website keeps general visit data, including your IP address, the time of the request and data sent by your browser. This data is used for analyses of visit and click behaviour and is anonymised as much as possible. See also our Cookie Policy.

6. Google Analytics

Analytical cookies are only placed after you have given consent via the cookie banner. As long as you do not consent, no visitor statistics about you are collected.

7. Viewing, amending or deleting data

You have the right to view, correct or delete your personal data, and to withdraw your consent or object. You can send a request to info@hotelnannyservice.com. We will respond as soon as possible.

8. How we protect personal data
